01 The problem

Most firms are being sold a build before anyone has measured the work.

A vendor demos a tool. A partner asks what it would take. Six months later there is a system nobody uses, and no record of what it was supposed to replace. The audit exists to put a measurement step in front of the spend.

Law firms

Intake, conflicts checks, document assembly, discovery review, matter status reporting, and time capture are spread across a practice management system, a document store, email, and a spreadsheet nobody owns.

The instinct is to buy a legal AI product. The unanswered question is which of those steps is actually costing billable hours, whether the data lives anywhere a system could reach it, and whether the confidentiality obligations you already carry permit the architecture the vendor is proposing.

Professional services firms

Accounting, consulting, engineering, and advisory practices run on proposals, engagement scoping, client onboarding, recurring deliverables, and internal knowledge that lives in the heads of three senior people.

Automation gets proposed at the tool level rather than the process level, so it lands on the steps that are easy to automate rather than the steps that are expensive. The audit measures the process first and lets the tooling question follow from it.

Healthcare engagements are not currently being accepted. We do not take on work involving protected health information at this time, and we make no HIPAA, SOC 2, or other certification or compliance claim anywhere on this site. We will revisit healthcare when the corresponding controls, insurance, and contractual capability are in place — not before.

Everything below is produced as a document you retain permanently — including in the case where the recommendation is not to build.

Current-state workflow map

A documented map of how the selected workflows actually run today — the steps, the people, the handoffs, the systems each step touches, and where work waits. Built from your own descriptions and the artifacts you show us, not from a generic industry template.

Automation and integration assessment

For each mapped step: whether it is a realistic automation candidate, what would have to be true technically for that to work, and which of your existing systems can and cannot exchange data. Steps that should stay human are identified as such and explained.

Architecture blueprint

A proposed technical architecture for the work we assess as viable: components, data flow, integration points, where processing happens, and the operational requirements that come with it. Written to be reviewed by an engineer who does not work for us.

Go / no-go recommendation with payback analysis

A direct recommendation, with the reasoning shown. The payback analysis is built from the time and cost figures your firm supplies during the engagement — we do not substitute industry averages or vendor-published benchmarks, and we show the inputs so you can challenge them.

03 Time commitment

Two weeks end to end. About four hours of your firm's time.

The audit is designed around the reality that the people who understand the workflow are the people who are hardest to book.

Four hours is the working estimate for your team's total involvement. If your workflows require more, we say so during scoping and before any agreement is signed — not halfway through.

Two weeks from engagement start to report delivery.

Discovery session, workflow mapping, systems and data review, follow-up questions in writing.

04 Credit-back

If you go on to build, the audit fee comes off the build.

The audit is priced to stand on its own. If it leads to a build, you do not pay for the same thinking twice.

Exact credit trigger

If Client and BeyondX execute a build agreement AND Client pays the initial build deposit within 30 days after BeyondX delivers the audit report, the audit fee is credited against the build fee.

Both conditions must be met. Delivery of the audit report starts the 30‑day period.

Published engagement figures
Audit fee $2,500 — fixed, agreed in writing before payment.
Build floor $50,000–$500,000+ — builds are scoped individually and start at the $50,000 floor.
Retainer $2,000+/month — ongoing operation and support, where a build proceeds.
Credit $2,500 credited against the build fee when the trigger above is met.

If the $50,000 build floor is outside what your firm intends to spend, the audit will tell you that — but the scoping call will tell you sooner, and for free.

05 Fit

Who this is not for.

We would rather lose the engagement on this page than three weeks into it. If you recognise your firm below, the honest answer is that this is not the right purchase.

  • Firms that will not fund a build at the $50,000 floor. The audit is genuinely useful on its own, but it is written to inform a build decision at that scale. Below it, you are paying for analysis you cannot act on.
  • Firms looking for a software recommendation. We do not run vendor bake-offs or produce a shortlist of products to buy. This is an engineering assessment of your own workflows and systems.
  • Firms that need a compliance opinion. Our security work is an engineering assessment. It is not a legal, regulatory, or compliance opinion, and it cannot substitute for one.
  • Healthcare organisations and any engagement involving protected health information. Not currently accepted. See the notice above.
  • Firms that cannot commit roughly four hours of the right people's time. The map is built from what your team knows. Without access to them, the output is a template, and a template is worthless.
  • Firms that have already decided to build. If the decision is made and funded, skip the audit and book a scoping call about the build directly.

06 Due diligence

How to verify us before you pay anything.

This page carries no testimonials, no client logos, and no case studies, because we will not publish claims you cannot check. Here is what you can check instead.

  • The fee and the scope are fixed, in writing, before you pay. You receive an engagement agreement stating the $2,500 fee and the exact scope. Nothing begins on a verbal understanding, and the scope does not move once it is signed.
  • The scoping call is with someone who does the work, not a salesperson. There is no qualifier tier and no hand-off between the call and the engagement. Ask hard technical questions on that call — how you would map our workflow, what you would refuse to automate, what you would need from our systems — and judge the answers. That is the point of making it free.
  • We publish a real, verifiable company address. BeyondX LLC is a limited liability company registered in Washington State, and its registration is a matter of public record you can search with the Washington Secretary of State. The postal address is on the contact page and in the footer of every page — not a mail drop chosen to look like an office.
  • You keep the deliverables even if we tell you not to build. A no-go recommendation is a legitimate and fully-paid outcome. The workflow map, assessment, and blueprint are yours regardless of which way the recommendation lands.
  • An engagement agreement is executed before any payment is taken. Payment terms, deliverables, the refund structure, and the credit-back trigger are all in the document you sign. Read the refund policy and the terms before the call if you want to arrive with questions.

What exactly am I buying for $2,500?

A two-week engagement producing four written deliverables: a current-state workflow map, an automation and integration assessment, an architecture blueprint, and a go/no-go recommendation with a payback analysis. The fee is fixed at $2,500 and the scope is fixed in the engagement agreement before you pay.

What happens if you recommend that we do not build?

You keep every deliverable and the engagement is complete. A no-go is a real outcome of the audit, not a failure of it — it is frequently the finding that saves the most money.

A no-go recommendation does not trigger a refund. The work was performed and delivered. The refund policy is set out in full on the refund page.

How does the credit against a build actually work?

The trigger is stated exactly as follows: if Client and BeyondX execute a build agreement AND Client pays the initial build deposit within 30 days after BeyondX delivers the audit report, the audit fee is credited against the build fee.

Both conditions are required. The 30-day period runs from delivery of the audit report.

Why is the build floor $50,000?

Builds run $50,000–$500,000+ and are scoped individually. Below the $50,000 floor there is not enough engineering budget to build, integrate, test, and operate a system responsibly inside a firm's existing infrastructure, and we would rather decline than deliver something we would not stand behind.

Ongoing operation and support is a separate retainer starting at $2,000+/month.

Is this an “audit” in the accounting sense?

No. “Audit” here names a structured technical review of your workflows and systems. It is not a financial statement audit, a statutory audit, or an independent attestation, and it is not conducted under the standards of the accounting profession. BeyondX is not a CPA firm and issues no audit opinion, attestation, or certification. The disclaimer states this in full.

Do you take healthcare clients?

No. Healthcare engagements are not currently being accepted, and we do not take on work involving protected health information. We make no HIPAA, SOC 2, or other certification or compliance claim.

Why are there no testimonials or case studies on this page?

Because we will not publish a claim a prospective client cannot verify, and because client engagements of this kind are confidential. Instead of social proof, we publish the things you can actually check: a fixed fee, a fixed scope in writing, a registered entity and a real address you can look up with the Washington Secretary of State, a technical conversation before you pay anything, and deliverables you keep whichever way the recommendation lands.

Is the security portion of the audit a compliance review?

No. Any security observations are an engineering assessment, not a compliance opinion, and they are not legal, regulatory, tax, or medical advice. The disclaimer states the boundary in full.

Will our confidential information be used to train AI models?

No. We do not permit client data to be used to train models, and we do not put client confidential information into AI tools whose terms fail to prohibit training on that input. The full position is on the AI usage disclosure page.

What do you need from us to start?

An executed engagement agreement, payment, and roughly four hours of time from the people who actually run the workflows in scope — typically a partner or practice lead plus whoever administers the systems involved.

How do we pay, and what is the refund position?

Payment terms are set out in the engagement agreement you receive before paying. The refund structure is tiered at 100%, 50%, and 0% depending on when you cancel relative to the first discovery session, and the refund page defines precisely what counts as that session having occurred.
