Refund Policy

Three tiers, one pivot point. Everything turns on whether the first discovery session has occurred, so this page defines that mechanically rather than leaving it to interpretation.

1. The structure

The audit fee is $2,500. Refunds operate on a three-tier structure keyed entirely to the first discovery session.

The 50% tier reflects the reality that engineering time, preparation, and a booked calendar slot are committed in the day before a discovery session and cannot be recovered at that notice.

2. When the first discovery session counts as occurring

This is the definition that determines your tier. It is intentionally mechanical.

Attendance in whole or in part counts as attendance.
If any representative of the client joins the first discovery session, the session has occurred — regardless of how long they remain, whether the full agenda was covered, or whether the client considers the session productive. Joining for five minutes counts the same as joining for the full session.
A no-show counts as attendance.
If no representative of the client joins the first discovery session at its scheduled time, and no written cancellation was received before that time, the session is treated as having occurred. The 0% tier applies.
A late cancellation counts as attendance.
A cancellation received after the scheduled start time of the first discovery session is treated as the session having occurred. The 0% tier applies.
Cancellation must be in writing.
Only written cancellation counts. Written means email to contact@beyondxai.com. A verbal statement on a call, a voicemail, a text message, or a comment made in passing does not constitute cancellation and does not stop the clock.
The 24-hour clock runs to the scheduled start time.
The 24 hours is measured from the timestamp of your cancellation email to the scheduled start time of the first discovery session, in the time zone stated in the calendar invitation.
Rescheduling is not cancellation.
If you reschedule the first discovery session at least 24 hours before its scheduled start, the tiers reset and apply to the new scheduled time. A reschedule requested less than 24 hours before the scheduled start is treated as a late cancellation for refund purposes.
If BeyondX cancels or fails to attend, you receive a full refund.
If BeyondX cancels the engagement or fails to attend the first discovery session without offering a reschedule, you are entitled to a 100% refund regardless of timing. This tier structure exists to protect committed engineering time, not to penalise a client for our non-performance.

3. How to cancel

Email contact@beyondxai.com stating that you are cancelling the audit engagement. We will acknowledge in writing and confirm which tier applies, with the timestamps we relied on. If you disagree with the tier we apply, tell us and we will review it.

4. The free scoping call is excluded

The free 30-minute scoping call is not the first discovery session and has no bearing on this policy. It is free, carries no obligation, precedes any engagement agreement or payment, and cannot trigger any refund tier. The first discovery session is the paid session scheduled after the engagement agreement is executed, and is identified as such in the calendar invitation.

5. A no-go recommendation is not a refund event

The audit ends in a go or no-go recommendation. A no-go is a legitimate and fully-paid outcome of the work — frequently the most valuable one — and does not entitle the client to a refund. You keep all four deliverables in either case.

Similarly, disagreement with the recommendation, or a decision not to proceed with a build, is not a refund event. You are paying for the analysis, not for a particular conclusion.

6. How refunds are processed

Approved refunds are issued to the original payment method within 10 business days of the tier being confirmed in writing. Any transaction fees charged by a payment processor that are not recoverable by us may be deducted, and we will itemise any such deduction.

7. Disputes

If you believe the wrong tier has been applied, raise it with us in writing first. We would rather resolve it directly and quickly than have you file a chargeback, and we will look at the actual timestamps rather than defend a position. Where the engagement agreement contains a dispute resolution clause, that clause governs.

Client agrees to raise any billing dispute with BeyondX in writing, and to allow ten business days for resolution, before initiating a chargeback or payment-network dispute. This does not override the rules of any payment network or limit any right you have under applicable law; it exists so that a disagreement about timestamps gets settled by looking at the timestamps.
